Information we process

We process recorded healthcare conversation audio, transcripts, plain-language recaps, your questions and answers, saved timeline information, and basic account information such as your email address. We use this information only to transcribe conversations, create recaps, answer questions from the transcript, save information you choose to keep, secure accounts, and operate the service.

Audio handling

Your browser uploads a recording to a private Google Cloud Storage bucket for processing. After transcription and recap processing finishes—or if processing fails—the application attempts to delete the raw audio immediately. A storage lifecycle rule deletes temporary audio after one day as a backstop if immediate deletion fails. Raw audio is not the long-term patient record.

Saved conversations and chat

Guests can use the core workflow without an account, but an unsaved recap may remain only in that browser session. When you create an account, saved transcripts, recaps, evidence links, and Timeline chat are stored in your private account. Timeline answers are grounded in your original saved transcripts; earlier AI answers are not treated as evidence.

Service providers

Visit Explained uses Google Cloud Run to operate the app, Cloud Storage for temporary audio, Speech-to-Text for transcription, Vertex AI with Gemini for recaps and questions, Firestore for saved data, Firebase Authentication / Identity Platform for accounts, and Secret Manager for server configuration. These services receive only the information needed for those functions.

What we do not do

We do not sell personal or health information. We do not use health information for behavioral advertising, unrelated profiling, or unrelated model training. We do not use advertising trackers, session replay, Google Analytics, Hotjar, or Mixpanel.

Retention and deletion

Saved information remains until you delete a conversation or your account. You can clear Timeline chat without deleting saved conversations. Deleting an account removes its Visit Explained application data and then requests deletion of its authentication account. Operational security logs may remain for limited periods, but the app is designed not to place recordings, transcripts, questions, or answers in logs.

Security

We use HTTPS, access controls, server-side ownership checks, managed Google Cloud services, and restricted service identities. No online service can promise absolute security. Please use a unique password and protect access to your email and device.

Your choices

You can delete individual saved conversations, clear Timeline chat, or delete your account from Profile. For a privacy request or help, email visitexplained@gmail.com. A downloadable data export is planned but is not yet available.

Adults and recording responsibility

Visit Explained is for people age 18 or older. You are responsible for obtaining agreement from everyone being recorded and following applicable law and healthcare-facility recording policies. If someone joins, pause or stop until they agree.

Healthcare privacy

Visit Explained currently serves adults directly and is not provided on behalf of a hospital. This policy does not make a blanket claim that every use is governed by HIPAA. Other consumer privacy laws may apply depending on where you live.
